What actually happens when you set up an AI receptionist in 48 hours

No long integrations, no IT projects. Here is the honest breakdown of what the onboarding process looks like.

When we tell clinics that FREMN can be live in 48 hours, the usual reaction is scepticism. Clinics have been burned before — by software that took months to implement, required expensive hardware, or demanded changes to workflows that staff had spent years refining. The scepticism is reasonable.

So here is an honest, step-by-step account of what 48-hour onboarding actually involves.

Hour 0 to 4: Information gathering

The first thing we need is not a technical integration — it is clinic-specific information. We collect details about the doctors on staff, their consultation timings, the appointment types the clinic offers (new patient, follow-up, procedure), and any specific instructions for handling particular query types.

This is done through a structured form that takes most clinics between 20 and 45 minutes to complete. No IT involvement required.

Hour 4 to 24: Configuration and testing

We use the information provided to configure the AI — training it on the clinic&apos#s schedule, terminology, and tone. We also set up the WhatsApp Business number (linked to the clinic&apos#s existing number where possible) and configure the voice routing if the clinic has opted for voice automation.

During this phase we run internal test conversations — simulating the kinds of queries a real patient would send — and share transcripts with the clinic for review. The clinic reviews and approves before anything goes live.

Hour 24 to 48: Soft launch and handover

We run a 24-hour soft launch where the AI handles real patient queries with a member of the FREMN team monitoring in the background. Any edge cases that arise are flagged and resolved in real time.

At the 48-hour mark, if the clinic is satisfied, we hand over the dashboard — a simple interface where the clinic can view all conversations, update doctor availability, and adjust settings without needing to contact us.

What we do not require

We do not require access to existing clinic management software (though we can integrate if the clinic uses one of the supported platforms). We do not require new hardware. We do not require a dedicated IT person on the clinic side. The only thing we ask for is a WhatsApp-enabled number and 45 minutes of a practice manager&apos#s time to complete the intake form.
